Give People a Reason to Stop
Most event booths fail because they’re passive. The provider puts up a banner, sets out a few brochures, and waits for someone to walk over.
This Mastermind member did the opposite. She used a sandwich board with a direct message: Got pain? Free treatment. She placed postcards throughout the venue offering free treatment to a genuinely limited number of people, had the tournament director distribute them, actively invited people over, and asked her friends at the event to spread the word.
The key was targeting a problem people already knew they had. Injury-risk assessments can work in certain settings, but someone currently dealing with pain is far more likely to act than someone who might possibly get injured someday.
Let Them Experience the Difference
Once people reached the booth, she didn’t simply explain what she did. She provided a short shockwave treatment that allowed them to experience the service firsthand.
During that interaction, she also explained that one treatment might begin the healing process but would not identify why the problem existed. She then offered a heavily discounted physical therapy evaluation plus a second shockwave session for $99.
That created a no-brainer, logical next step. The event treatment generated interest, while the evaluation positioned her to uncover the complete problem and recommend the appropriate plan of care.
Use Real Scarcity
Scarcity works best when it reflects an actual limitation.
She offered only a set number of event treatments and visibly crossed each completed spot off the sign-up sheet. She also made the $99 evaluation offer available only to people who scheduled during the event.
People could see that the opportunity was limited, which gave them a reason to act instead of telling themselves they would contact her later.
Book the Next Visit Immediately
Interest disappears quickly after an event. If someone receives treatment and then leaves with instructions to call later, many never will.
She booked each person’s next appointment while they were still at the booth. That simple step helped her turn eight short event interactions into scheduled patients, with most of those who arrived ultimately purchasing packages.
Don’t leave the next step vague. Pull out the calendar, offer specific appointment times, and make it easy to say yes while their motivation is high.
Reduce Event No-Shows
People who book after a short event interaction may be more likely to cancel or no-show, so the follow-up process matters.
When someone hasn’t completed their paperwork, don’t rely only on an automated reminder. Text them that you’ll be calling, then pick up the phone. That brief personal contact can save an appointment that might otherwise disappear.
A small nonrefundable deposit can also help. When heavily discounted appointments are limited, asking for $25 to hold the spot gives the patient some skin in the game and protects your schedule.

Remove First-Visit Anxiety
Another useful strategy from this conversation was creating a short welcome video that shows patients exactly how to find the clinic and what to expect during their first visit.
This is especially important when GPS directions are confusing, but it can improve the experience for any practice. Show the correct entrance, where they’ll wait, what they should wear, and what will happen when the appointment begins.
The more familiar the experience feels before they arrive, the less uncertainty they have to overcome.
The Final Word
Local events can generate far more than exposure and business cards. With the right message, offer, follow-up, and booking process, one event can produce a meaningful number of new patients and thousands of dollars in future care.
The biggest lesson is to stop waiting for people to approach you. Give them a clear reason to stop, let them experience your value, and confidently guide them into the next step.
